Redesigning a legacy core insurance system

MTL has long relied on an outdated core  system, that is not only frustrates users with inefficient workflows, manual processes and poor user experience but also leads to increased operational costs and missed business opportunities, hindering scalability and growth.

" How might we redesign a flexible approach and automate processes to enhance operational efficiency? "

Responsibility

Due to the system's tremendous complexity, we implement a squad team form, with one designer for each squad. I took the position as solely UX/UI designer for squad one.

My responsibilities included revamping the product setup module, new business module, initiating the UI design kit, contributing to the design system, and so on, throughout agile development sprints.

In addition, I collaborated with several user groups as well as designers, project owners, and developers.

Solution

The current design feels outdated, with a user interface resembling the Windows XP era, paired with a cluttered and confusing workflow. The disorganized information creates significant usability challenges, making it frustrating for both new and experienced users to navigate and efficiently complete tasks. This results in a steep learning curve and hinders overall productivity.


Here are a few solution examples:

✨ Simplified Workflow
I implemented an Org Chart design to simplify complex workflows, presenting them in a clear, hierarchical structure.

This reduced cognitive load, improved navigation, and made tasks easier to manage, allowing users to quickly understand relationships and complete actions efficiently. The clear hierarchy kept the interface intuitive, scalable, minimizing the learning curve.

✨ Automation Processes
I also added automated processes, allowing users to set conditions that apply to multiple items at once, reducing redundancy and repetitive tasks. This approach streamlines data entry, lowers cognitive load, and improves overall efficiency.

✨ Progressive Disclosure UI
To streamline the user experience and enhance intuitiveness,
I implemented a Step Process UI design pattern.

This approach breaks down complex workflows into discrete, manageable steps, each representing a specific stage of the process. This reduces cognitive load, minimizes confusion, and simplifies navigation, enhancing usability and task efficiency.

Reflection

I consider myself thankful because during my first professional experience as a UX/UI designer, I was able to collaborate with a variety of teams.  I gained an incredible amount of knowledge from working on this project.

Learn to put yourself in the shoes of others
This project has helped me think about many different things. Seeing things from another person's perspective, putting yourself in their shoes. Consider all of the possible scenarios. This allows me to be more thorough in my design.

Boosted UI Skills
As the first designer in this project to establish a UI design kit and contribute to the design system, I was able to improve my design in a consistent and systematic manner.

Collaboration and Communication
Due to the broad scope of the project, I had the opportunity to gain experience to work more cooperatively and effectively with professionals from various backgrounds. Everyone is unique, with their own set of information and experiences, and I can learn a lot from others. I also help the collaborative process by establishing grooming sessions in which I contribute the team through the design.
